4. What data do we process about you and how?
4.1 : HRWeb may process the following data about you via the website:
- Identification data, such as your first name and last name. These data are only processed if and to the extent that you contact HRWeb yourself via the demo request form, the email address, or the telephone number as stated on our website.
- Company data, such as the name and address of the company, business email address and telephone number, job title, number of employees, and HR-related interests/needs. These data are likewise only processed if and to the extent that you contact HRWeb yourself via the demo request form, the email address, or the telephone number as stated on our website.
- Any other personal data that you may provide in the demo request form or communicate via the email address or telephone number as stated on the website.
- Electronic data: device data, log file data such as IP address, browser and operating system, external websites, pages visited (and date and time of connection), and cookies.
4.2 : HRWeb may receive your data directly from you when you provide them via the demo request form, the email address, or the telephone number listed on the website. 4.3 : The processing of the above-mentioned (personal) data is necessary for the purposes set out in Article 5 below.
5. Why and on what basis do we process your data?
5.1 : HRWeb processes your personal data for:
- Contact, inquiries and information (only if and to the extent that you have contacted us yourself via the demo request form, the email address, or the telephone number as stated on our website)
We process your personal data via the website in order to contact you, to be able to process any questions you may have and to provide you with the necessary information about our organisation, our services, our website or other information related to our services or activities (e.g. offering a demo of the HR software).
The processing of your data for these purposes is based on the legitimate interests of HRWeb insofar as these outweigh your (privacy) rights or interests.
If you do not provide certain data, such as your identification details, we may not be able to contact you (again), provide you with information or provide you with services. - Direct marketing : Your data may be used for direct marketing purposes. This includes sending you, via our newsletter or other means (e.g. social media), information about HRWeb, our services, activities, or other information that may be of interest or useful to you (such as upcoming events).
If you are already a customer or otherwise involved in a contractual relationship with us, such processing may be based on our legitimate interests to conduct business, which may, where applicable, override your (privacy) rights and interests. If you are not a customer or otherwise involved in a contractual relationship with us, we require your prior consent to send you marketing communications (e.g. by subscribing via our website). 5.2 : The processing of your personal data via the website is not subject to so-called ‘automated individual decision-making’ or profiling.
6. Who else receives or processes your data (besides HRWeb)?
6.1 : Your data is also processed by our partners, service providers, or suppliers with whom we collaborate in the context of the website, e.g., our web administrator(s), hosting provider(s), and/or IT partners who only process your data in the context of your visit and use of the website.
6.2 : Your data may also be shared with other entities within the Septeo group, including relevant internal departments (such as sales, marketing, customer support and IT), in particular through the use of a shared CRM system. Such processing takes place for internal administrative purposes, including the management of requests, customer relations and commercial follow-up.

6.3 : We are not responsible for the processing of your data by third parties who do not do so on behalf of HRWeb, but are responsible for this themselves.

7. Will your personal data be transferred outside the EU/EEA?
No. Should this nevertheless be the case, any such transfers to countries outside the EU/EEA will be based on appropriate safeguards and mechanisms (such as an adequacy decision of the European Commission – for example in respect of third parties established in the United States that are certified under the EU-US Data Privacy Framework).
8. Combien de temps conservons-nous vos données ?
We will not retain your data for longer than is necessary for the purposes described above in Article 5, unless special legal provisions apply to its storage or processing. - Restriction of processing that relates to you. You have the right to obtain restriction of processing if you:

- we no longer need this data, but you still need it for the establishment, exercise, or defense of legal claims; or
- pending a response to the question of whether the legitimate grounds of HRWeb outweigh those of you or your (privacy) rights if you have objected to the processing on the basis of our legitimate interest.
9.3 : You have the right to object to the processing of your data.
You may, at any time and free of charge, object to the processing of your data for direct marketing purposes. You can do so easily by notifying us at privacy@hrweb.be. In that case, you will no longer receive marketing messages, communications, or newsletters from us. In any event, our electronic communications will always provide you with the opportunity to unsubscribe (opt-out).
9.4 : You have the right to transfer your data (to another controller). This is only possible if the processing is based on your consent or if the processing is carried out by automated means.

9.8 : To exercise your rights, simply send a request to HRWeb at privacy@hrweb.be. You must provide sufficient identification.
If we have reason to doubt your identity, we may ask you for additional information necessary to confirm your identity. We will usually ask for a copy of your identity card to verify who is actually submitting the request. Please ensure that any information or data that is not necessary for the verification and confirmation of your identity is blacked out or otherwise removed or rendered unreadable.
